Company Portal Guide

This guide is for company users who manage onboarding, OTP submissions, shipments, payments, and compliance.

1) Company dashboard at a glance

What each highlighted area does:

  1. Left navigation menu: open each module (OTP, Shipments, Invoices, Messages, Profile).
  2. Dashboard summary header: quick orientation and refresh.
  3. Quick stats cards: compliance and performance snapshot.
  4. Quick actions panel: fastest path to the most common tasks.
  5. Profile checklist and alerts: missing items and compliance warnings.

2) Registration and onboarding

Use registration to create the company account and submit it for association review.

Checklist before final submission:

  1. Contact details are accurate.
  2. Company legal and KRA details are correct.
  3. Required documents are uploaded.
  4. Terms confirmation is checked.
  5. Click Submit Registration.

3) Required documents and compliance

Document requirements come from the association policy. For each document type:

  • It can be Mandatory or Optional.
  • It can be Expiring or Non-expiring.
  • Expiring documents show warning windows before expiry.

Recommended daily routine:

  1. Open Company Profile and Certifications.
  2. Upload missing mandatory documents first.
  3. Replace expiring documents before warning reaches zero days.
  4. Confirm status changes from pending to verified/approved.

4) OTP certificates

Use the OTP module for customs-entry-driven applications.

5) Invoices and payments

Where to check:

  • Invoices: all issued invoices and payment status.
  • Payments / Wallet: payment actions and receipts.

Best practice:

  1. Sort invoices by due date.
  2. Pay oldest due invoice first.
  3. Save receipts for audit and dispute handling.

6) Complaints, disciplinary items, and disputes

  • If a complaint is filed against your company, review details immediately.
  • Raise a dispute from the complaint/disciplinary context where available.
  • Track support interactions and provide evidence early.
  • Follow notification updates until final association decision.

7) Messages and notifications

  • Messages: direct communication with association/support.
  • Notifications: status changes, compliance alerts, and action reminders.

Use these daily to avoid missed deadlines.
